Europodfriends is a Europe-based meetup in October for podfic readers, podfic listeners, the podfic curious, and all other podfic lovers! Though we are based in Europe, we welcome anyone who wants to join in, so long as you can handle our time zones! ;)

You would love to join us, but don't think you can afford the travel? Not to worry! This year, because of COVID, the event is happening entirely online! No travel needed except to grab your headphones and discord-enabled device! (And to the kitchen, for snacks.)

  • EPF will run from early afternoon Friday the 14th to early afternoon Saturday the 16th, UTC+1.

  • If you can only make it to part of the event, you are still more than welcome!

  • EPF will happen entirely over a dedicated Discord server, for which you will get an invite shortly before the event.

  • The event will be largely text-and audio-based.

  • If you can only participate in the text portions or only the audio portions, you are still more than welcome!

  • There is unlikely to be continuous events - EPF is explicitly less of a convention and more of a meet-up, but there definitely will be some events:
    • We are planning an introductory round on Friday for everyone to get to know each other.

    • We are planning "Pitch 'n' Pod", in which you introduce a fic you would like to record, and other participants sign up to do voices. These can then be recorded live during the EPF weekend.

    • There will likely also be at least one rec fest, possibly themed.

Two bits of news at the start of the month!

First of all, we have a new mod! Please welcome Robin_Fai to the team! *\o/*

Second of all, sign-ups are now open! Please fill out this form to sign up to the event (as a reminder, it will run 14th - 16th October of this year) and feel free to share it around if you want to! Sign-ups will remain open until a week beforehand, and we will post another reminder shortly before that. Since it’s online this year, we don’t have a maximum number of participants. And for those of you from across various ponds: the event isn’t exclusive to Europeans, it just follows European time zones. ;)

If you’ve got any ideas for events or activities for this year’s event then now would be a great time to start thinking about them. If you’ve got any questions about whether you think a particular item might work for EPF then please do get in touch with us to discuss!

We need your help to organize this year’s online meetup! We’re looking for a third admin to help manage the workload, as otherwise we won’t be able to run the event this year, and both of us want to avoid that option. Get in touch with us by June 12th if you're interested!

Here’s what being an admin means, in terms of work involved:

Timing:

  • Do EPF things for roughly 15-20 hours, spread between now and the meetup in October.
  • Be part of the admin team on the weekend of the meetup (14th - 16th October)

Main tasks:

  • Writing and sending emails Writing and posting to social media
  • Finding discord mods, and coordinating with mods and event runners
  • Respond to anything needing admin intervention during the meetup (in theory, anything from harassment to reminding people to wrap up an event on time. In practice, it’s likely to be more of the latter than the former.)

Additionally:

  • Possibly some research (e.g. into remote recording options)
  • Possibly editing pre-existing documents (e.g. accessibility info) for readability etc.
  • Coordinating and scheduling all of the above with your fellow admins (that’s us!)

None of this would be on Just You - we’ll all share these responsibilities! We just, well, need an extra pair of hands.

well… Omicron happened, and the COVID situation has changed again. We’ve discussed it, and as it stands at the moment, we cannot in good conscience plan an in-person meeting in October. It might be safe to do so by then! But we have no way of knowing that now, and now is when we would need to be well on our way to planning an in-person meetup.

As such, we are instead looking to do an online meetup again, the way we did in 2020. We had great fun with that, and based on your feedback, so did you! We will need people during the event making sure the code of conduct is being followed, like we had last time, but we’ll be reaching out to you about that closer to the event itself. However, we’ll also be more reliant on events than we are during in-person meetups, and that's something we can absolutely dive right into thinking about! Is there an event - a game, a recfest, a watchfest, a tutorial, whatever it is - you’d like to run, or just participate in? Let us know in the comments, or brainstorm ideas with each other! Anon commenting is on, so you won’t need an account for commenting - we'd just like to keep all the ideas in one place for a better overview.

Just as a reminder, the virtual meetup will take place from the 14th to the 16th of October, 2022. As it currently stands, it will probably run primarily over discord. We have closed the survey for the in-person sign-up and will put up another sign-up sheet for the virtual meetup somewhat later in the year, since that will need less run-up time. For now - brainstorming time!

It’s rapidly nearing the end of the year, which for your mods means it’s time to start thinking about next year’s europodfriends meetup.

We’ve decided that for 2022, we would like to try to do an in-person meetup again. This means that we will once again be meeting up to hang out in Berlin on the weekend of October 14th - 16th, 2022. For those who have been there before, hopefully we’ll be able to rent the same place we usually do, but we shall see!

Considering the pandemic is still far from being over, we have decided that in order to attend you will need to provide proof you’re vaccinated against COVID-19 as well as have a current negative COVID test.

As in previous years, the meetup won’t have a flat attendance fee. We calculate the contributions based on your means, so don’t worry about not being able to afford it! And if you need extra funds to be able to attend at all (for travel expenses, for instance), don’t hesitate to let us know - we budget in such a way that it’s possible for europodfriends to fund your journey as well. It’s important to us to facilitate everyone’s attendance to the best of our ability.

Regarding food & drink, in 2019 we provided that for everyone out of the epf budget. We would like to be able to do that again, but that somewhat depends on how much people are able to contribute - we know that the pandemic has hit a lot of us hard!

Though we have yet to update these documents for the current meetup (which we'll do when we determine attendance numbers and decide on a venue), the 2019 Accessibility Information and the 2020 Code of Conduct should give you some idea of the kind of things we care about for the meetup.

And before I forget - here’s the survey you need to fill out if you (might) want to join us next year!

For those of you who’ve never been to EPF, or to an in-person meetup, or who would like a little refresher, here’s roughly what we did the last times and what we’ll likely be doing next year as well:

Friday is mostly for everyone arriving and greeting each other and hanging out and making name badges. Very ambitious people might already be podficcing that evening, but since not everyone will have arrived yet, we don’t schedule anything specific for that day.

Saturday morning there’s a meeting where everyone introduces themselves “formally” with names and pronouns. This is also when we do pitch ‘n’ pod - in short, everyone who wants to gets a few minutes to talk about a fandom and a fic in that fandom that they want to podfic at the meetup, and then afterwards everyone can sign up to the podfics they want to be a part of. Saturday evening might be another scheduled event organised by attendees - in past years we’ve had a video call with Podfication, or a game of “Guess That Voice”, or watch parties, for example - but that part is up to y’all: if you want to organise something, get in touch so we can figure out the scheduling and planning!

Sunday morning we’ve done a big, fun multivoice with everyone participating the last two times, and that would certainly be fun to do again - 2018 we did Earth Is Space Australia (and Chuck Norris Isn’t A Man With A Beard. He’s A Beard With A Man) and 2019 we did I Has a Sweet Potato. After that people start leaving again as their travel plans call for. And all throughout all three days, there’s a lot of podficcing happening at all hours of day and night - the EPF collections on AO3 should give you some idea!

We know that by virtue of going back to an in-person meetup, some of you who joined us in 2020 will not be able to come hang out with us again, which really sucks! Unfortunately we don’t have the capacity to organize a virtual meetup in addition to the in-person one, and past years show that none of us really spend a lot of time online during the weekend, so having that run parallel wouldn’t work either. However, if anyone wants to start their own virtual podfic meetup, get in touch with us! We’re happy to share our experiences with running EPF 2020 as well as do lots of promo.

Like in the past few years, we will mostly be updating you via email, but we’ll also try to crosspost to Dreamwidth, twitter, and tumblr, life and time permitting.
